Otter.ai Alternatives for Transcribing Files

Otter.ai is a meeting assistant, and its limits on imported files push many people who mainly transcribe recordings to look elsewhere. We make RocketScribe, so it's listed first; the rest are ranked by how well they fit people who mainly transcribe recordings.

Prices and limits of other products checked in October 2026 on their own websites. They change often; check the vendor's site before you buy.

Why people look for an Otter.ai alternative

Otter is built for meetings. Its bot joins Zoom, Microsoft Teams and Google Meet on every plan, including the free one. It transcribes live, labels speakers and writes summaries and action items, and it has iOS and Android apps. If that is your main job, Otter does it well and you may not need anything on this page.

Importing your own recordings is where its limits show. On the free Basic plan you get 3 file imports for the lifetime of the account, and only the first 30 minutes of each one is transcribed. Pro allows 10 imports a month per user, drawn from a 1,200-minute monthly pool shared with meetings. Otter transcribes 6 languages (English, Spanish, French, German, Japanese and Simplified Chinese). It cannot import from a YouTube or other link, and the free plan exports TXT only.

So the people who switch usually have a backlog of interviews, lectures, podcasts or voice memos, or recordings in a language Otter does not cover.

How to choose

Start from the job you need done most often, then compare the limits that matter for it.

  • Live meetings: a meeting assistant such as Notta or Fireflies records the call for you. RocketScribe, TurboScribe and MacWhisper do not join meetings.
  • Many recorded files: compare the per-file length, how many files you can upload, and the monthly price. RocketScribe and TurboScribe both let free users transcribe 3 files a day.
  • Human accuracy: Rev ($1.99/min, English) and Happy Scribe (from $2.00/min) sell transcripts checked by people.
  • Offline or private: MacWhisper runs on your Mac, so audio does not have to leave the device.
  • Other languages: check the language list before you pay. Counts run from 6 (Otter) to 150+ (Happy Scribe).

How we checked

We read each vendor's pricing page and help center in October 2026 and used only what they state. Where a vendor's own pages disagreed, we left that point out, and "Not stated" means we could not find it. Prices are in US dollars unless marked, and "per user" means the vendor charges per seat. Plans change often, so check the vendor's page before you pay. RocketScribe's details come from our own product.

FAQ

Questions, answered.

What is the best free alternative to Otter.ai?+

It depends on what you transcribe. For recorded files in a browser, RocketScribe and TurboScribe both allow 3 free files a day of up to 30 minutes each. On a Mac, MacWhisper's free version runs locally and states no usage limits. For meetings, Otter's own free plan, with 300 minutes a month and a meeting bot, is hard to replace for free.

Can Otter.ai transcribe a YouTube link?+

No. Otter's help center says it does not support pasting a YouTube URL, and suggests downloading the file and importing it. RocketScribe, TurboScribe, Happy Scribe and Notta accept YouTube links, Rev accepts public media URLs, and MacWhisper does so on Pro.

Which Otter.ai alternatives join meetings?+

Notta has a bot for Zoom, Microsoft Teams, Google Meet and Webex. Fireflies.ai supports those and 10+ other platforms. Happy Scribe and Rev also offer AI notetakers. RocketScribe, TurboScribe and MacWhisper do not send a bot, although MacWhisper Pro can record meetings on your Mac.

Which alternative supports the most languages?+

Happy Scribe lists 150+ languages and dialects. MacWhisper lists 100, TurboScribe 98+ and RocketScribe 90+. Notta supports 58 and Rev 37, with Rev's free plan limited to English. Otter supports 6.

Is there an Otter.ai alternative with human transcription?+

Yes. Rev sells English human transcription at $1.99 per minute, and Happy Scribe sells it in many languages from $2.00 per minute. RocketScribe and the other AI tools here do not offer it.
